Privacy Policy
Effective date: August 23, 2026
FieldActa is a local-first application for creating work reports, documenting before-and-after conditions, managing client and equipment records, collecting client signatures, and generating PDF reports. This policy explains what information FieldActa processes, why it is needed, where it is stored, and what choices are available to you.
1. Summary
- FieldActa does not require a FieldActa account.
- The developer does not operate a server that receives your reports or client records.
- FieldActa does not include advertising, tracking, or third-party analytics.
- FieldActa does not sell personal information.
- App content is stored on your device and may be synchronized through your private Apple iCloud account.
- Phone-number formatting and validation are performed locally on the device.
- A PDF or other content leaves the app only when you choose to share or export it, or when an Apple service is needed for a feature you request.
2. Information processed by FieldActa
FieldActa processes only information that you enter, create, import, scan, or choose to provide while using the app.

| Photos and media | Before-and-after photos, captions, equipment photos, and business logo | To document condition, results, and equipment |
| Location information | A location selected on the map or the device's current precise location when you request it | To attach the work location and coordinates to a report |
| Signatures | A signature drawn on the device | To record the client's acknowledgement of a report |
| Equipment information | Equipment name, notes, photo, QR code, and loading or return status | To check equipment before departure and after work |
| Generated files | PDF work reports and printable QR labels | To preview, save, print, or share documents you create |
FieldActa does not access your Contacts address book. Client details are entered manually by you or copied from records you already created inside the app.
3. Device permissions
FieldActa may request the following permissions only when they are needed:
- Camera: to take work or equipment photos and scan equipment QR codes.
- Photo Library: to import photos and a business logo.
- Location: to use your current position for a work location when you explicitly request it.
You can deny or revoke these permissions at any time in iOS or iPadOS Settings. Core report editing remains available, although the related camera, photo, or location feature will not work without its permission.
4. Storage and iCloud synchronization
FieldActa saves app content locally on your device using Apple's data-storage technologies. If you are signed in to iCloud and iCloud is available for FieldActa, Apple CloudKit may synchronize reports, photos, signatures, client records, equipment, and your business profile through the private database of your Apple Account.
The developer does not operate a separate synchronization server and does not receive your FieldActa content. Apple's processing of iCloud data is governed by Apple's terms and privacy policy. Apple states that iCloud data is encrypted in transit and stored in an encrypted format.
If iCloud is unavailable, FieldActa continues to save changes locally and can synchronize them when iCloud becomes available again.
5. Apple Maps and address search
When you search for an address, select a place on the map, or request address details for coordinates, FieldActa uses Apple MapKit services. The search text, selected area, or coordinates needed to return map results may be processed by Apple according to Apple's privacy policy.
You may enter an address manually and avoid using your current location.
6. Phone-number processing
FieldActa uses the open-source PhoneNumberKit and PhoneNumberKitUI libraries to select country codes, format international phone numbers, and check whether a number is structurally valid. This processing occurs locally on your device. Phone numbers are not sent to the library authors or to a phone-validation service.
7. Sharing and disclosure
FieldActa does not automatically disclose your content to the developer, advertisers, or data brokers.
When you choose to export, print, save, or share a PDF, QR label, photo, or other content, iOS or iPadOS presents the system Share Sheet or another Apple system interface. The destination you select may receive that content and process it under its own privacy policy. Review the destination before sharing reports that contain client information, photos, signatures, addresses, or payment details.
Information may also be disclosed where required by applicable law. Because the developer normally does not receive or hold your app content, the developer generally cannot provide content that remains only on your device or in your private iCloud database.
8. Client information and your responsibilities
FieldActa is a tool for professionals. If you enter information about a client, employee, property owner, or any other person, you are responsible for having a lawful basis and any permission required to store, use, synchronize, and share that information. This includes photos, precise locations, contact details, signatures, and report contents.
9. Retention and deletion
Data remains in FieldActa until you delete the relevant records, remove local app data, or delete FieldActa's data from iCloud.
You can:
- delete reports, clients, equipment, photos, and other supported records in the app;
- delete the app to remove its locally stored data from that device;
- manage or delete FieldActa's iCloud data in your Apple Account's iCloud storage settings;
- revoke camera, photo, or location access in system Settings.
Deleting the app from one device may not delete data already synchronized to iCloud or retained on another device. Apple may also retain information in backups according to Apple's policies.
The developer cannot directly delete content stored only on your device or in your private iCloud database. If you contact the developer, support can explain the available device and iCloud deletion steps.
10. Security
FieldActa uses Apple's platform storage, sandboxing, permission, and CloudKit mechanisms. No method of electronic storage is guaranteed to be completely secure. Protect access to your device and Apple Account, and review reports before sharing them.
11. Children's privacy
FieldActa is a professional productivity tool and is not directed to children under 13 or the equivalent minimum age in the user's jurisdiction. The developer does not knowingly collect children's personal information through a developer-operated server.
12. International use
Apple may process iCloud and MapKit data in locations described in Apple's terms and privacy policy. You are responsible for complying with privacy and record-keeping laws that apply to your business and clients.
13. Changes to this policy
This policy may be updated when FieldActa's features or legal requirements change. The effective date at the top of the policy will identify the latest version. Material changes will be reflected on the FieldActa privacy page.
